POLICY
The South Fens Business Centre's policy is to provide and maintain a safe and healthy working environment for employees, tenants and visitors to the Centre.

Tenants are responsible for health and safety within their own units and must ensure that any particular hazards are notified in writing to the Centre Manager who has day-to-day responsibility for the Centre. Particular consideration should be given to hazards that might arise - if Centre Staff or Emergency Services need to gain access to any unit.

Tenants must ensure that they comply with current health and safety
legislation and;
Ensure immediate working environments are free from potential hazards and that means of escape are kept clear at all times
Provide a First Aid Kit

Acquaint all with fire exits/escape routes and fire safety instructions. In the event of any accident the following information must be recorded and an Accident Report Form completed and a copy provided to the Centre Manager to include;

1 Name of injured person
2 Details of the Accident
3 Name of any witness
4 Treatment / action taken

SECURITY
The Centre is provided with a 24 hour monitored CCTV which is linked to a central reporting station.

Entry Cards
Access for 'approved' personnel to the Centre is controlled by the use of access control cards. These cards operate the main external doors of the buildings. Cards may be added or deleted as required and individual companies are responsible for the recorded allocation of cards to their staff, and for returning the cards when staff leave their employment or the company leaves the Centre.

All companies which use the system must supply Reception with the name, address and telephone number of a person who may be contacted in case of an emergency. Failure to do this will prevent companies from being included in the system.

FIRE ALARM
The Fire Alarm panel to notify of an emergency is situated at É..

Please note the fire alarm will automatically shut down the gas fired boilers so that they are no longer in operation.

Tenants are responsible for providing suitable fire fighting equipment (such as extinguishers) within their units.

What to do if you discover a fire

Between 9.30am to 5.30pm IMMEDIATELY operate the nearest Fire Alarm Call Point and inform Reception of Location and any other details
Outside normal hours: IMMEDIATELY call the Fire Brigade by Dialling 9 followed by 999

On Hearing The Fire Alarm
The fire alarm bells will be tested on the first Monday of the month between 9.00am and 9.30am in the Centre. The test consists of two alarms of some 10 Ð 15 second duration each. Any alarm over above that period of time should be considered to be a genuine alarm and the following evacuation procedure must be followed.

On hearing a continuous sounding of the fire alarm bell, everyone must leave the building and proceed to the assembly points assigned to individual tenants where a roll call will be made by their appropriate Fire Warden.

Switch off electrical appliance and lights
Close all windows and doors
Use the nearest available exit
Do not use lifts
Do not stop to collect personal belongings
Do not re-enter building until instructed that it is safe to do so

FIRE WARDENS
Each business should give the name of their appointed Fire Warden to the Centre Manager when they first move in. General access areas, such as the Conference Rooms, Meeting Rooms and toilets are covered by the Manager and Reception staff.

Fire wardens must:-

Familiarise themselves thoroughly with their assigned area and with the disabled refuge points.
Arrange for a substitute to stand in whenever they are absent from the office.
During an evacuation ensure all windows and doors, particularly fire doors, are closed before leaving their area.
When satisfied that the evacuation is complete, quickly go to their prescribed assembly point and make a roll call of their staff.
Then report to the Centre Manager or deputy to report any missing staff or that all staff are accounted for.

Designated Assembly Points

Everyone should go to their designated assembly points immediately on hearing the continuous fire alarm bell. Your appointed Fire Warden will check to see that everyone is accounted for or if anyone is missing. DO NOT RE-ENTER THE BUILDING at any time unless instructed to do so by your Fire Warden.
All companies must ensure that Reception always has a current list of all employees.
Tenants visitors should assemble with the respective company. All visitors will be required to sign the Visitors Book in case of fire. At all meetings held in the Conference or Meeting Rooms organisers should keep a record of those in attendance.

GAS ALARMS
If a tenant becomes aware of a gas leak they should advise Reception immediately in person and not by telephone. The alarm will be raised by the sounding of an air horn.

Tenants should:-

Evacuate the premises immediately
Ensure that everyone within their work space is evacuating the premises
Check that no one has been overcome by fumes etc., if they have, advise Reception and evacuate the person affected from site and apply First Aid procedures immediately

Tenants should NOT:-

Activate the fire alarm system
Touch light switches
Touch electrical sockets
Re-enter the building until the all-clear has been given by your Fire Warden
Use the telephone; report in person to your nearest reception area
